Good documentation is the foundation of financial clarity. Without clear records, even the simplest financial situation can become confusing over time. The good news is that effective documentation doesn't require complex systems—just consistent habits.

The first habit to develop is dating everything. Every financial document, note, or decision should have a date attached. This simple practice makes it much easier to reconstruct timelines when needed and understand how your financial situation has evolved.

Write things down in plain language. Avoid jargon when documenting your own financial decisions. Instead of 'executed asset reallocation,' write 'moved $5,000 from savings to investment account.' Your future self will thank you.

Keep a decision log. When you make significant financial decisions, document not just what you decided but why. Understanding your reasoning at the time helps you evaluate whether the decision was sound and learn from experience.

Maintain a contacts list. Document the names, roles, and contact information of everyone involved in your financial life: bankers, accountants, insurance agents, and any other professionals. Include notes about when you last spoke and what was discussed.

Finally, create a summary document. This is a single page that gives an overview of your complete financial picture: accounts, insurance policies, important documents and where they're stored, and key contacts. Update it annually and make sure someone you trust knows where to find it.
